Formal Privacy Notice

Zandent Ltd ("we", "us", "our") is committed to protecting your privacy. This notice explains how we collect, use, and retain your personal data when you visit our website or use our software products. We operate in a corporate (B2B) context and only process professional contact details.

1. Who we are

Zandent Ltd
79 Essex Road, Islington, London, N1 2SF, UK
Email for all GDPR / data rights requests: infohelpwebsupergoo.com

We are the Data Controller for any personal data collected via our website or products.

2. What personal data we collect (corporate context only)

We collect only professional contact details and information related to your use of our products:

  • Name, work email address, work phone number, job title, company name
  • Product purchase history, licence keys, order IDs
  • Support enquiries, bug reports, feature requests
  • Correspondence with our team

We do not collect private data (home address, personal email, health, etc.) unless you deliberately provide it in a message.

3. Why we process your data and our legal basis

PurposeLegal basis (GDPR Art. 6)
To respond to enquiries and provide supportContract (6(1)(b)) or Legitimate interest (6(1)(f))
To retain your purchase records and licence keys for 20 years so we can re‑issue lost keys and verify your identity as a customer – even if you contact us many years laterLegitimate interest (6(1)(f)) – essential for customer continuity of service
To send important service or security updatesLegitimate interest (6(1)(f))
To analyse website usage (cookies) – non‑essential cookies require your consentConsent (6(1)(a))

4. How long we keep your data – 20‑year retention for purchases

We keep different categories of data for different periods:

  • Purchase records, licence keys, invoice metadata (customer name, company, product, order date) – 20 years from the date of last purchase so you can always recover lost keys, even if you contact us two decades later.
  • Support tickets and general correspondence – 10 years from last message (though we may retain them longer if linked to a purchase record).
  • Website analytics (non‑personal aggregated data) – 26 months.

After the relevant period, data is deleted or anonymised. Why 20 years? Software customers sometimes lose licence keys after many years. Retaining purchase records for 20 years allows us to re‑issue keys and verify past customers – a legitimate business need we have documented internally.

5. How to contact us about a GDPR or data protection issue – you must actively flag it

⚠️ Important – GDPR data rights requests: If you are contacting us to exercise your GDPR rights (access, rectification, erasure, restriction, objection, portability, or withdrawal of consent), you must state clearly at the beginning of your message:

“This is a GDPR data rights request.”

Email: infohelpwebsupergoo.com – please put that exact phrase in the subject line or the first sentence of your email.

Why this is required: It allows us to immediately identify and prioritise legal data rights requests, ensuring we meet the 30‑day response deadline. If you contact us about a GDPR issue without flagging it, we will still respond, but the one‑month deadline will start only once we recognise it as a formal data rights request (which may delay processing).

6. How we share your data

We share data only when necessary:

  • With service providers (hosting, email, support platform) – all have signed Data Processing Agreements (DPAs).
  • With legal authorities if required by law.

We never sell your data.

7. Your rights under GDPR

You have the following rights, which you can exercise by emailing infohelpwebsupergoo.com with the required GDPR flag (see section 5). We will respond within 30 calendar days.

  • Access – request a copy of your professional contact data and purchase records.
  • Rectification – correct inaccurate details.
  • Erasure (“right to be forgotten”) – request deletion of your data except where we have a legitimate interest to retain purchase records for 20 years. If you request erasure, we will delete all non‑essential data but may need to keep minimal purchase metadata (with name and email anonymised) to prevent fraudulent re‑registration of the same licence key.
  • Restrict processing – limit how we use your data.
  • Object – to processing based on legitimate interest (including the 20‑year retention).
  • Data portability – receive your data in a structured, machine‑readable format.
  • Withdraw consent – for any consent‑based processing (e.g., non‑essential cookies).

You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO): https://ico.org.uk.

8. Cookies and consent

We use necessary cookies (no consent required) and optional analytics cookies. For optional cookies, we will ask for your consent via a banner. You may withdraw consent at any time using our cookie settings tool.

9. Changes to this notice

We may update this notice from time to time. Any material changes will be highlighted on our website or, where appropriate, by email to registered users.

10. Contact for non‑GDPR enquiries

For general product support, lost licence keys, or sales: infohelpwebsupergoo.com – no special flag needed for those topics.
